Step by step
Set up a webinar countdown in five steps
Create a fixed timer counting to the start
Make a fixed timer set to your webinar's start time, in the time zone you scheduled it in. Readers in other time zones don't have to convert anything: the timer shows hours and minutes remaining, which is the same everywhere. If you run the same session every week, use a recurring timer instead (Basic and up).
Style it to match your event page
Pick a layout and apply your brand kit so the email matches your registration page. A transparent background (Basic and up) lets the timer sit on a banner image. For international audiences, set the labels to “auto” and add your platform's language merge tag in the Embed dialog, so each reader sees days, hours and minutes in their own language, from seven supported.
Set the “we're live” fallback image
On Basic and up, upload a fallback image that appears once the start time passes, for example a “We're live: join now” banner. After the event, replace it with a “Watch the replay” image. Every reminder already sent shows the new image on its next open. On Free, write an expiry message instead.
Embed it in every reminder
Paste the image URL or HTML snippet into your invitation, reminders and confirmation email, wrapped in the same link as your join button. On Pro and up, connected platforms such as HubSpot, Mailchimp or Klaviyo get the timer inserted into a draft campaign for you.
Test before the first send
Send a test and check the countdown matches the start time, then change the timer's deadline to a minute from now to preview your fallback image, and change it back. Confirm the start time is written in text, with time zones, for readers on classic Outlook.
A webinar reminder email sequence with countdowns
Each reminder has one job, and the timer makes the timing obvious without a paragraph of “this Tuesday at 11am Pacific, 2pm Eastern”. A sequence you can adapt for a webinar promoted for two to three weeks:
- Invitation, 2–3 weeks out. Topic, speakers, what attendees will leave with. Timer counts the days. Subject: “Live on Oct 27: how we plan a holiday email calendar”.
- Confirmation, on registration. Calendar link, join link, timer. Subject: “You're registered. Here's your link.”
- Reminder, 1 week before. Agenda and one teaser takeaway. Subject: “One week to go: what we'll cover”.
- Reminder, 1 day before. Short. Subject: “Tomorrow at 11am PT: your link inside”.
- Reminder, 1 hour before. Timer first, join button second. Subject: “We start in 1 hour”.
- Replay, after the event. To registrants who missed it. Subject: “Missed it? Watch the replay”.
Count to the start, then show “we're live”
The most common webinar email problem is the reminder opened after you've started: it still says “starts tomorrow”. A fixed timer fixes that. Before the start it counts down; once the start time passes, it shows your fallback image instead. A “We're live: join now” banner turns a late opener into a late joiner rather than a no-show.
After the session, swap the fallback image for a “Watch the replay” image. The email holds only the image link, so every invitation and reminder already in inboxes now points people toward the recording. Make sure the link around the image goes somewhere that works in both states, such as your event page that hosts the join link and then the replay.
Count-up timers for a “live now” email
Sending a “we're live” email right at the start? A count-up timer (Basic and up) shows the time since a start, so under a “We're live” headline it reads 00:12:45 twelve minutes in. That tells a reader how much they've missed and that it's still worth joining. Before the start time it shows zeros.
A count-up never ends, so it never switches to a fallback image. Use it only in the email you send at or after the start, and keep the fixed countdown with its replay fallback in your earlier reminders.
Recurring and per-registrant webinar timers
For a weekly demo or office hours at the same time, a recurring timer resets on a weekly rule in your time zone, for example every Tuesday at 11am in America/Los_Angeles. One timer serves every week's emails and your nurture flows, with no editing. See recurring countdown timers.
If registrants pick from several sessions and your email platform stores each person's session time on their profile, a dynamic timer (Pro and up) counts to that date per recipient: the image link carries it through a merge tag, as ?end= followed by the field. One reminder email then shows every registrant their own session. Read more about personalized countdown timers.
Event countdown timer emails for international audiences
A countdown sidesteps time zone conversion: “2 days 4 hours” means the same thing in Berlin and Boston. Still write the start time in the email text with two or three time zones for readers on classic Outlook for Windows, which shows only the first frame of the GIF (correct when opened, but not ticking).
Set the timer's labels to “auto” and add your email platform's language merge tag in the Embed dialog, and each reader sees them in the language on their contact, from English, French, Spanish, German, Italian, Portuguese and Dutch. Without that tag, most Gmail and Apple Mail opens show English, because those apps load images from their own servers. See the multilingual countdown timer for details. Apple Mail pre-fetches images; on Pro and up, Apple Mail options can show those cached opens a message, your fallback image or nothing instead of a possibly stale countdown.
Webinar countdowns in your email platform
The timer is an image link, so it works in any platform that shows images, including HubSpot, Marketo, Pardot, Mailchimp and ActiveCampaign. On Pro and up, connect HubSpot, Marketo, Mailchimp or ActiveCampaign and flashtimer inserts the timer into a draft campaign; in Pardot, paste the timer's HTML into the email. For B2B teams on HubSpot, see the HubSpot countdown timer setup. Compare plan limits on the pricing page.
